Office Manager (German-speaking)

As an Office Manager, you will manage the in-person setup and logistics for about 100 employees in our Berlin Mitte office, and you will remotely support other crossfunctional teams and offices throughout the German market. Working closely with the People Operations and IT teams, you will ensure a seamless experience for new employees and efficient daily office operations for all staff.
What you will do:
- Project manage and closely own an exciting office move in early 2025. This would include managing our relationships with vendors, contractors, and movers, prioritizing a seamless closing, moving, and opening for our team.
- Manage the daily logistics, vendors, and operational needs of Via’s Berlin office. Support with stocking with supplies, snacks, and more when needed.
- Provide remote support for other German Via offices as needed, including tasks such as office design, supply ordering, and vendor management.
- Proactively develop and execute creative solutions to keep things running efficiently.
- Organize and process incoming and outgoing mail, including sorting, scanning, and distributing documents to relevant departments.
- Oversee diverse projects, from organizing our weekly office breakfasts and lunches to long-term initiatives like researching sustainable water supply solutions.
- Help with the company's onboarding programs for new hires in Berlin.
- Maintain best practices for health and safety guidelines
- Provide support for visitors and guests to our office to ensure everyone has an excellent experience on site
- Manage office expenses and reports
- Assist with planning and executing local employee experience initiatives like happy hours, volunteering opportunities, and moments of joy
Who you are:
- You have one or more years of experience in Office Management or Business Operations
- An optimist. You keep a “can-do” mentality, and are eager to take on new challenges with excitement.
- Low-ego. There are no jobs too big or too small for you. Whether it’s rolling up your sleeves and executing an in office happy hour, or negotiating with a critical vendor… you do what needs to be done.
- Highly organized and detail-oriented. You pay attention to the little things and take pride in executing flawless processes.
- Trustworthy, honest, and able to work alone without supervision.
- A great communicator with strong interpersonal skills. You enjoy working with others and being part of a team!
- You intuitively understand how to manage your time and prioritize multiple tasks at once
- A problem solver… not just a problem identifier. You proactively come up with creative solutions to problems from ideation to execution.
